Our goal is to create trust and accountability in your chapter’s finances by providing a clear and organized view of how money is managed. Please read this privacy policy carefully. We may collect information about you in a variety of ways. The information we may collect via the application depends on the content and materials you use, and includes:

A. Information Provided by Users

  • Account & Profile Information: When a chapter is set up, we collect information necessary to create the account and manage roles. This includes contact information such as email or phone numbers for adding executive board members. Users may authenticate using an email/password combination or through an OAuth provider.

  • Financial Information: To provide our services, we collect financial data that you input into the app. This includes:

    • The total chapter budget.

    • Budgets allocated to specific executive positions.

    • Transaction details, including the amount, description, date, and category.

    • Receipts, which may be uploaded as images or PDFs.

B. Information About Chapter Members

  • Member Onboarding: General members join a chapter's group using a unique invite link or code generated by the Treasurer. We collect the information necessary to associate the member with the correct chapter and assign them the "Member" role.

3. How We Use Your Information

Having accurate information permits us to provide you with a smooth, efficient, and customized experience. Specifically, we use information collected via the application to:

  • Provide and Manage Our Services: We use your information to operate the FratFunds platform, including setting up chapter profiles, allocating budgets, and tracking expenses.

  • Manage Permissions and Access Control: We use user roles (HQ, Treasurer, Exec, Member) to implement strict, role-based permissions. This ensures that Treasurers have full control, Execs have limited access, and Members have read-only access.

  • Display Financial Data: We display financial information on a live dashboard that is accessible to all members in real-time. This dashboard shows the total chapter budget, budget breakdown by executive, remaining balances, and expense history.

  • Send Notifications: We may use your information to send you notifications related to your account, such as alerts when a budget is low or a new expense has been submitted.

  • Ensure Security and Maintain an Audit Trail: We automatically log all edits, deletions, and role changes to create an audit log. This log includes the user's information and a timestamp for accountability.

  • Facilitate Member Onboarding: We use the invite system to provide an easy onboarding process for general members.

4. How We Share Your Information

Your information is shared within your chapter based on the roles and permissions you have established. Every dollar collected and spent is logged and viewable by members in real-time.

  • General Members: Have read-only access. They can view the full budget breakdown, remaining balances, transactions, and spending categories, but cannot edit anything.

  • Executive Board Members (Budget Holders): Can log spending with receipts and notes for their allocated budget. They can see their remaining budget in real-time. Their access is limited to their own budget.

  • Treasurer (Admin): Has full control. The Treasurer can view and edit all budgets and transactions for the chapter , manage member access , and reallocate funds.

  • Fraternity/Sorority HQ: Can create an account for the chapter and give full access to the Treasurer.

    We do not sell your personal information. We may share information with third-party service providers for data storage and app functionality, or if required to do so by law.

5. Data Security

We use administrative, technical, and physical security measures to help protect your personal information. The measures we use include:

  • Role-Based Access Control: To ensure users only have access to information appropriate for their role.

  • Data Encryption: We use end-to-end encryption to protect your data.

  • Secure File Storage: For uploaded receipts and other documents.

  • Audit Logs: To track all changes made within the application.

  • Two-Factor Authentication (2FA): We offer optional 2FA for Treasurers to add an extra layer of security to their accounts.

6. Data Retention

We will retain your personal and financial information for as long as your chapter’s account is active or as needed to provide you with services and comply with our legal obligations.

We may update this Privacy Policy from time to time in order to reflect changes to our practices or for other operational, legal, or regulatory reasons. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last Updated" date.
